Computer Based Training


Computer Based Training (CBT) modules are available as self-paced courses. CBTs are intended as a general reference to familiarize users to applications and services available. As applications and services may change, please check back frequently for updates.

Provider Electronic Solutions (PES) CBT

The PES Computer Based Training (CBT) is designed to demonstrate various functionality of the PES software. The CBT is an interactive walk-through that introduces you to the available menu items that facilitate working in PES. This CBT also provides step-by-step instructions for completing and submitting claims via PES.

Although this CBT is designed as a reference for learning how to use PES to submit claims, it does not replace the billing and policy information available to you in the Medicaid handbooks. If you should discover conflicting information, always defer to the PES billing guides, HIPAA implementation guides, X12 companion guides, and online help. PES claim submissions follow electronic billing rules that may require data elements that are not required when submitting paper claims.

Getting Started

This CBT is divided into 11 lessons. You are not required to take all lessons, and they do not need to be taken in the order they are presented. You may choose to take all of the lessons, or only those lessons that you feel are most pertinent to you.

When you click on a lesson below, the following two options appear:

Run: When you select this option, the CBT will start and proceed through the lesson without downloading any files to your local drive.

Save: When you select this option, you can save the lesson to your local drive. You will then have the option to start the CBT immediately, or take the lesson at a later time.

While you cannot save your progress in a lesson and return to it at a later time, you can retake a lesson as many times as you wish. You should check this website frequently for updates. If a lesson has been updated, the updated date will appear beside the download link.

The CBT is designed to navigate through each lesson. Follow the directions on screen to proceed to the next screen. NOTE: You can “fast forward” through slides by clicking the arrow buttons that appear on the toolbar along the bottom of the screen.

PES Menu Functionality Lessons

  • Lesson 1 – Installing PES This lesson provides step-by-step instructions for installing the PES software from a ZIP file.


  • Lesson 2 – Personal Options This lesson introduces you to the information available from the Options menu in PES. You will also learn how to obtain your Web Logon ID and password by walking through registering a Medicaid Provider ID with a PIN number.


  • Lesson 3 – Lists This lesson introduces you to creating and maintaining lists in PES. Lists are designed to help facilitate claims completion by allowing you to maintain a record of frequently used information.


  • Lesson 4 – Reports This lesson introduces you to the information available from the Reports menu in PES. You will learn how to generate reports and view examples of the available claim types on which reports can be run.


  • Lesson 5 – Security This lesson introduces you to the information available from the Security menu in PES. You will learn how to add users with either user or administrator access rights to the PES system.


  • Lesson 6 – Claims Submission This lesson introduces you to submitting batch claim forms. You will see an example of a successful claims submission, and you will view the information available in the Communications Log file.

Web Portal CBT

The Web Portal Computer Based Training (CBT) is designed to demonstrate various functionality of the Web Portal. The CBT is an interactive walk-through that introduces you to the available menu items that provide important provider information and allow for setting personal options. This CBT also provides step-by-step instructions for completing and submitting claims via the Web Portal.

Although this CBT is designed as a reference for learning how to use the Web Portal to submit claims, it does not replace the billing and policy information available to you in the Medicaid handbooks. If you should discover conflicting information, always defer to the Web Portal User Guide, HIPAA implementation guides, X12 companion guides, and online help. Web Portal claim submissions are electronic, and don’t always adhere to the rules for submitting paper claims that are found in the Medicaid Reimbursement handbooks. NOTE: While taking these lessons, please be aware that not all examples will be applicable to every provider type submitting the specific claim form type.

Web Portal Menu Functionality Lessons

  • Lesson 1 – Introduction This lesson introduces the information available to you in both the public and the secure sections of the Web Portal. You will also learn how to access the secure section of the Web Portal by walking through registering a Medicaid Provider ID with a PIN number.


  • Lesson 2 – Providers Menu This lesson introduces you to the information available from the Providers menu in the Web Portal. The Providers menu allows you access to Demographic Maintenance, where information about the Provider ID is available, including service location information, location address, EFT account information, service language, and ownership.


  • Lesson 3 – Account Menu This lesson introduces you to the information available from the Account menu in the Web Portal. You will discover where you will receive important messages from Florida Medicaid that pertain to your provider type, how to switch providers, and how to manage your personal Web Portal options.


  • Lesson 4 – Eligibility Menu This lesson introduces you to the information available from the Eligibility menu in the Web Portal. You will learn how to look up the eligibility status of recipients by using information such as Recipient ID, Birth Date, Gender, Card Control Number, Social Security Number, Recipient Name, and Date of Service.


  • Lesson 5 – Prior Authorization Menu This lesson introduces you to the information available from the Prior Authorization menu in the Web Portal. You will learn how to search for a specific Florida Medicaid prior authorization request and how to create a new prior authorization request (limited to certain provider types).


  • Lesson 6 – Trade Files Menu This lesson introduces you to the information available from the Trade Files menu in the Web Portal. You will learn how to upload and download X12 files into the system such as Eligibility Requests and Responses (270/271) and Electronic Remittance Advice (835).


  • Lesson 7 – Reports Menu This lesson introduces you to the information available from the Reports menu in the Web Portal. You will learn how to use the Reports menu to search for a specific Florida Medicaid issued report by Date and Report Name. This is where you can retrieve a PDF version of your weekly remittance advice (formerly remittance voucher).

Web Portal Claims Submission Lessons

    NOTE: The following lessons are intended to familiarize you with using Web Portal to complete a claim form; therefore, it only covers typical fields that are completed during claim creation. Not all sections of each claim form will be utilized in these lessons.


  • Lesson 8 – Dental Claims This lesson walks you through completing a Dental Claim form and submitting the claim in the Web Portal. You will also learn how to fix and resubmit incomplete claims and see an example of a successful claim submission.


  • Lesson 9 – Institutional Claims This lesson walks you through completing an Institutional Claim form and submitting the claim in the Web Portal. You will also learn how to fix and resubmit incomplete claims and see an example of a successful claim submission.


  • Lesson 10 – Professional Claims This lesson walks you through completing a Professional Claim form and submitting the claim in the Web Portal. You will also learn how to fix and resubmit incomplete claims and see an example of a successful claim submission.


  • Lesson 11 – LTC Claims This lesson walks you through completing an LTC Claim form and submitting the claim in the Web Portal. You will also learn how to fix and resubmit incomplete claims and see an example of a successful claim submission.
